Scope of Work

This contract secures event design and coordination assistance for the multi-day Portland Riverfest proposed for late summer 2008. This assistance includes facilitating:

-  the design of the Riverfest event;

-  organizing group meetings, including meeting times, agendas, and meeting summaries;

-  the development of project timelines;

-  partnerships with additional organizations; and,

-  the provision of additional resources to assure a successful event.

Deliverables

The contractor shall provide:

-  a project schedule no later than 6 months before the scheduled event;

-  a meeting schedule for the organizing group within two weeks of the effective date of this contract;

-  a list of potential partners, including contact information, no later than 6 months before the scheduled event;

-  a list of potential funding sources, including contact information, no later than 6 months before the scheduled event;

-  a written design for the event showing activities, venues, dates, and times—as well as descriptive information to provide context and enable event marketing. This design shall be provided in increasing levels of detail beginning 6 months prior to the date of the event and updated monthly thereafter until the event is held.

-  a summary of the project that evaluates strong-points and weak-points of the process and the event, and identifies key recommendations for future events.
