LNA Internet/Website Guidelines
The Laurelhurst Neighborhood Association (LNA) maintains a presence on the Internet. In accordance with the LNA Bylaws (and based on the guidelines for the newsletter ), these guidelines are intended to outline the purpose of this presence, describe inappropriate uses of LNA Internet properties, and oversight and maintenance authorities, and such other types of information as are required to ensure the ongoing service of the LNA Internet presence to the members of the association.
Purpose
The purpose of the LNA's Internet presence is:
1. To help inform members of the LNA about the business of the LNA and of issues of general concern to the neighborhood;
2. To facilitate the communication of LNA members either amongst themselves or with entities outside of the LNA including the general public;
3. To facilitate a sense of community in the Laurelhurst neighborhood.
Ownership
Properties
The ownership of all official LNA Internet properties belongs with the LNA, and will be maintained by, and registered to, the Webmaster selected by the Board.
Content
All content on an LNA Internet property belongs to the LNA except where explicitly stated otherwise.
Maintenance Fees
The Webmaster will inform the Board when registration/hosting fees are due no less than thirty (30) days prior to payment due date.
Only Internet properties officially controlled by the LNA will have their fees covered in this manner.
Communication/Activity Types
Activities on LNA Internet properties will generally fall into two classes: Official LNA Communications/Activities, and LNA Community Communications/Activities.
Official LNA Communications/Activities
Items that fall into this class are those that are performed officially on behalf of the LNA. Typically these actions will be performed by an LNA Board member, the LNA Board in its entirety, the LNA general membership (with the intent of officially representing the LNA), or official delegates of any of the above.
Items that fall into this class will be protected in such a manner that the core content cannot be transformed in a way that would falsely represent the LNA on an LNA-owned Internet property.
Examples of items in this class include (but are not limited to):
• Official notices sent by the Board
• Summaries of actions taken by the LNA Board or the general membership as reported by the LNA Secretary
• Recordings of such actions
• Surveys and the like performed by the LNA
Official LNA content must be handled according to the section "Handling Official Content" below.
LNA Community Communications/Activities
Items that fall into this class are those that are undertaken by members of the LNA community at large to further the intent of the LNA-owned Internet properties as expressed in the section "Purpose" above.
To the extent that these items reside on an LNA-owned Internet property, they will carry sufficient and obvious notice to inform the casual consumer that such items do not necessarily represent an official view, action, communication, or other activity undertaken by the LNA.
Examples of items in this class include (but are not limited to):
· The use of LNA Internet properties by LNA members to provide information relevant to the LNA community, or the public at large
· The use of LNA Internet properties to organize members on areas of interest to LNA members
Inappropriate Uses
The following activities are deemed inappropriate uses of LNA-owned Internet properties:
· The collection of any personal information for commercial purposes unless specifically approved by the Board, with any such collection happening only after having received the permission of each participating individual by inviting members at large to participate
· Directly, and privately, communicating to a user of an LNA Internet property who has not agreed to such communication
· Falsely representing an official position by another LNA member or organization
· Discriminatory behavior as outlined in the neighborhood bylaws
· Other uses deemed inappropriate by the webmaster in conjunction with the Board
Webmaster
The LNA webmaster is a volunteer position appointed by the Board of the LNA. The webmaster shall normally be appointed annually at the first meeting of the Board following elections.
The webmaster shall be the primary responsible party for LNA Internet properties during regular day-to-day activities. Responsibilities of the webmaster include:
· Updating LNA Internet properties with information provided by members
· Assuring that all properties are functioning as expected
· Being the primary contact with the Internet provider(s), hosting agents, content providers, or other service providers for the LNA Internet properties
· Suggesting and implementing improvements to the LNA Internet properties
The departing webmaster shall pass any registration/hosting information on within ten days to either (a) the newly-appointed webmaster after the election, or (b) the President of the Board upon the webmaster’s resignation or dismissal.
The webmaster shall also inform the President of the Board of the registration, hosting, or other information required for the ongoing use of the LNA properties and of any changes to such.
Handling Official Content
Content that meets the criteria specified in subsection "Official LNA Communications/Activities" above will be handled in the following manner:
1. New information to be added to the website will be confirmed and verified for correctness and appropriateness by the President or Vice-President of the Board, or by another member of the Board as a proxy selected by the unavailable party, with the following exception(s):
1. Upon the removal of a scheduled meeting timed event, the next impending meeting timed event information will be added (where appropriate) in the appropriate sections without verification by or notification to the President and Vice-President.
2. Corrections to information, such as, but not limited to, link updates or contact information alterations, can be made without verification from the President and Vice-President provided that a notification of changes made is sent via email to the President and Vice-President on the same day as the changes are made.
3. Removal of information may be done only by the prior consent of the President or Vice-President with the following exception(s):
1. Timed events that have expired can be removed without verification by or notification to the President and Vice-President
4. Content presented on the website will be removed at the request of the President or Vice-President, pending an inquiry as to the correctness and/or appropriateness of the removed content.
