NOTE: THIS MEMO IS SUBJECT TO CHANGE
I realize that as the Canvass Field Manager you will have your own plan on how to meet the goals and objectives of this canvass. As Canvass Coordinator, I am in charge of making sure the canvass run in a manner that is consistent with what the contractor of the canvass wants. I will be giving you a calendar of dates and times that need to be followed as closely as possible, especially for the Marshall High School students. Please let me know of any problems or questions.
These are tasks that must be done:
1. Adult and student canvassers need to fill out W2's and other tax forms, sign a memo of understanding, and have timesheets that they will fill out each day and returned to you (if for some reason I don't have the formal timesheets ready just have the canvassers keep track of their hours on a piece of paper). Your timesheet and the canvassers timesheets need to be turned in to me by the date noted on the bottom of the timesheet.
2. Adult canvassers need to be trained on Wed. 3/28/01 at 9:00am at Southeast Uplift office, 3534 SE Main.
3. You need to be at the PDC site office, 9117 SE Foster at 8:45 am on 3/29, 3/30, 4/2, 4/3, 4/4, 4/5, 4/6. The adult canvassers will arrive at this site at 9:00am if you are late they will be locked out. The PDC site office is not very visible from Foster Rd., but look for a business call Trillium Artisans they are esentially sharing the same building. The PDC site office door has an iron gate near it. If you get completely confused just go into Trillium Artisans introduce yourself and ask them to show you where the PDC site office is.
4. Completed surveys must be given to you each day by all of the canvassers. Hold on to them until I give you further directions.
5. The huge excel database of businesses that I gave you on a disk must be updated according to the survey results you get back.
6. The ten high school students must be trained on 4/2 starting at 2:45pm at Marshall High School. I will contact the a person from Marshall High School and tell you what room to train the students in.
7. The high school students will canvass from 3-6pm. You need to be at Marshall High School at 2:45pm to meet the students. Before 6pm the students need to be dropped off at Marshall High School (they will not be going to the PDC site office). It needs to be done this way to make it easy for the students to participate in the canvass project.
8. The high school students must go out in pairs for safety reasons. Even if they say they can go by themselves and know what they are doing they always must go out in pairs for safety and legal reasons (even if they are18 and older).
9. We must communicate or make the attempt to communicate at least once a day so that I can find out the status of the canvass. I need to write weekly reports to our contractor so I need to know the number of surveys completed each day, how many businesses the canvassers dropped survey off at, any problems, and any thing that you might need.
10. You need to provide transportation for the adult and student canvassers. If you need a van let me know asap and I will show you how to rent one.
11. You may have to make some purchases for the canvass if you do you must keep you receipt so that you can be reimbursed for the expenses. Run expenses over $25 by me first. Keep track of your mileage you will be reimbursed for the mileage not the gas you pay for. I will get you a reimbursement form for this purpose.
12. Make sure canvassers have materials they need.
13. Create the rap.
14. Make individual canvasser turf maps as soon as I get a footprint map.
15. Any other tasks that I find out our contractor wants done.
