RE: Work to be done over the next week or so
Im writing this only to clarify my own thoughts as to the priority that things need to get done. I dont usually do this, but, in this case, for me its best.
1. Print out mailing labels for Division St. Merchants. Cross out any
duplicates (please dont bother with list now - just cross out those that are or will be addressed already). Put labels on envelopes, put SEUL stamp in corner, include only the flyer (orange) and brochure (pink).
2. Stamp and mail envelopes ready to go. Ask Sophie to stamp them and
bill to account #42.
3. Address envelopes for landowners from out of the project. Stamp and
mail as in #1 and 2.
4. Compile materials for residents along side streets in envelopes with SEUL
stamp in corner and a new label - Resident within Main Street Project Boundary.
5. Compile and paper clip material for landowners, business owners
residents in project boundary.
6. Fax press release to newspapers.
7. Take the flyer and brochure to Dave Diprete at Third World Coffee (you
might want to call first to see if hes there) and tell him we want to hold the Open House at his place, whatever the condition. Tell him Ill call him mid-next week, and I apologize for not verifying everything with him.
8. Take your packets and drop off one at each location. Contrary to what we
discussed, dont ask to do the questionnaire first. Just get them all delivered. Its imperative that we get this info into their hands immediately. At the businesses, ask for the business owner. If he/she isnt there, just leave it (but expect that they may not get it!) Remember not to put any in a mailbox - the postman will take it with him/her and destroy it.
8. After everything is delivered, then go back and do the questionnaires. Do the best you can - if people dont have the time or willingness to fill one out, theres nothing more you can do.
After this phase, the next major thing can wait until next week:
Sometime after the weekend, contact Mike Holmstrandt regarding arrangements for Natures - whether we should bring easels, what the wall space is like, that sort of thing. It shouldnt take too long - just enough to get a sense of whats available. I assume that people can purchase coffee, other drinks and treats before, during and after the meeting - but you might want to verify that we can, indeed, have food in the meeting room.
If you would like to read everything and make some sense out of it, great. Otherwise, everything can kind of go on hold until the workshop next Wednesday. By that time, Ill have relaxed enough and you will be even more familiar with the project that we can devote more time to our part of the Model Plan - the actual logistics of the public participation element, questions we think prospective neighborhoods might want to ask, and that sort of thin.
A couple of other things:
1. The number for this project is 42. Thats the card to use for any zeroxing
and mailing.
2. Originals are in the red folder in the right-hand file holder on my desk.
Good luck - Im glad youre aboard!
